Personal Assistant

Job Description

This is a 6 month contract.

Duties include:
Quickly develop a strong understanding of the priorities of the leaders they support in order to anticipate future needs and prioritise accordingly, reacting flexibly to the changing diary and time demands
Ensure the safekeeping of confidential information, displaying discretion when dealing with matters of confidence. Ensuring the correct distribution, storage and destruction of confidential information and documents. Maintaining a comprehensive electronic and paper filing system
Organise diaries, meetings (internal and external) and ensuring that all relevant information and documentation is available ahead of time as necessary
Coordinate travel arrangements as and when required
Coordinate logistics, electronic papers/packs/presentations, administration and minutes of Board meetings, and other regulatory/non regulatory senior business meetings
Management of incoming and outgoing communications (telephones, emails, post etc), exercising judgement on the delegation of emails and other requests in the absence of aligned leaders
Budget management and expenses processing for aligned leaders in conjunction with Finance Department

Skills and experience required:
Significant experience working in a large corporate office environment supporting leaders in a PA/Secretarial role
Highly computer literate to Advanced level user in MS applications specifically Excel, Outlook, PowerPoint, Word
Diary Management and Travel coordination experience
Proficient Typist with an ability to provide a high level of accuracy and attention to detail across all work
Excellent organisation and prioritisation skills with an ability to problem solve independently
Excellent oral and written communications skills and telephone manner
Flexibility will be essential to provide support across a minimum of 3 senior leaders with the ability to meet constant deadlines from each
